RETURNS & REFUND POLICY
At vCloud Tech, we are committed to delivering high-quality products and services to our customers. As an IT reseller and solutions provider, many of the products we supply are governed by manufacturer and distributor return policies. This document outlines the terms and conditions applicable to all product returns, exchanges, replacements, and refund requests.
By purchasing from vCloud Tech, the customer agrees to the terms stated below.
1. Return Merchandise Authorization (RMA)
All product returns require prior authorization from vCloud Tech in the form of a Return Merchandise Authorization (RMA) number. Returns submitted without an approved RMA number may be refused and returned to the sender at the customer’s expense.
To request an RMA, customers must contact:

The following information is required:
- Invoice or order number
- Product serial number
- Manufacturer part number
- Quantity
- Detailed reason for return
- Photos of damaged items or packaging (if applicable)
vCloud Tech reserves the right to approve or deny any return request based on manufacturer, distributor, or product eligibility requirements.
2. Standard Return Eligibility
Products may be eligible for return if all of the following conditions are met:
- Return request is submitted within 30 calendar days from the delivery date
- Product is unused and in original condition
- Product is returned in its original manufacturer packaging
- All manuals, accessories, cables, inserts, and registration materials are included
- Product packaging is not damaged, marked, altered, or defaced
- Product is deemed resalable by the manufacturer / distributor
Products returned in non-resalable condition may be rejected or subject to additional fees.
3. Dead on Arrival (DOA) & Defective Products
Products that are defective, damaged in transit, or dead on arrival (DOA) must be reported within 7 calendar days of delivery. Depending on manufacturer and distributor policies, eligible products may qualify for:
- Replacement
- Repair
- Manufacturer warranty processing
- Credit or refund
Certain manufacturers may require customers to work directly with the manufacturer for warranty support or defective item replacement. vCloud Tech reserves the right to inspect and verify all reported defects prior to approving replacement or refund requests.
4. Non-Returnable / Non-Cancellable Items
The following items are generally non-returnable and non-refundable:
- Software licenses
- Cloud subscriptions and digital products
- Electronic delivery products
- Opened software
- Open Storage Drives
- Server configurations (CTO servers, rack-mounted systems, or custom-built infrastructure)
- Customized or configured products
- Special-order or non-stock items
- Products marked as “Non-Returnable” or “Final Sale”
- Products damaged due to misuse, negligence, improper installation, or unauthorized modification
- Products with missing serial numbers or altered labels
All custom-configured, assembled, or special procurement items are considered final sale unless otherwise approved in writing.
5. Open Box & Non-Defective Returns
Non-defective returns may be accepted at the sole discretion of vCloud Tech and may be subject to:
- Manufacturer approval
- Distributor approval
- Restocking fees
- Return shipping charges
Approved non-defective returns may incur a restocking fee of 15%–25%, depending on the manufacturer or distributor policy. Products that have been opened, activated, registered, licensed, or used may not qualify for return.
6. Return Shipping Requirements
Customers are responsible for all return shipping charges unless the return is due to:
- Incorrect shipment by vCloud Tech
- A verified defective product
- Shipping damage caused during transit
Customers must:
- Properly package returned items to prevent transit damage
- Use insured and trackable shipping methods
- Clearly reference the approved RMA number on all shipping documentation
vCloud Tech is not responsible for returned products lost or damaged during return transit.
7. Inspection & Acceptance of Returns
All returned products are subject to inspection upon receipt. vCloud Tech reserves the right to:
- Reject returns that do not meet eligibility requirements
- Return products to the customer at the customer’s expense
- Apply additional fees for missing items or damaged packaging
- Reduce refund amounts based on product condition
Return approval does not guarantee final credit acceptance until inspection is completed.
8. Refund Processing
Approved refunds or credits will generally be processed within 7–10 business days after inspection and acceptance of the returned product. Refunds may be issued through:
- Original payment method
- Store credit
- Account credit
Shipping charges, handling fees, and service fees are non-refundable unless otherwise approved.
9. Order Refusal & Shipment Damage
Customers must inspect shipments upon delivery. Visible shipping damage, shortages, or incorrect shipments must be reported within 48 hours of delivery. Failure to report shipping discrepancies within the required timeframe may result in denial of the claim.
Customers are encouraged to retain all packaging materials for carrier inspection purposes.
10. Manufacturer Warranty
Many products sold by vCloud Tech are covered directly by manufacturer warranties. Warranty terms, durations, and coverage vary by manufacturer and product category. vCloud Tech does not independently provide additional product warranties unless explicitly stated in writing.
11. Limitation of Liability
vCloud Tech shall not be liable for:
- Data loss
- Business interruption
- Configuration or labor costs
- Third-party service expenses
- Indirect, incidental, or consequential damages arising from product failure, delays, or return processing
Customers are responsible for backing up all data prior to returning any device or hardware product.
12. Policy Modifications
vCloud Tech reserves the right to update, modify, or revise this Returns & Refund Policy at any time without prior notice. The latest version of this policy will always be available on the vCloud Tech website.
